University of Illinios, Chicago from October 4th-5th.

The location for our 2025 Conference is in the beautiful city of Chicago, hosted with New Life Volunteering Society. A city full of charm, beaches, gorgeous skyscrapers, and delicious food, this conference will be full of exciting events. This years theme focuses on collaboration, so we are excited to see the innovative ways clinics can leverage research to build forward-thinking partnerships and strengthen community care.

Oral Presentation
  • All presentations need to be submitted as ppt files by midnight on September 24th
  • We encourage all presenters to bring a copy of their slides on a flashdrive / personal laptop for redundancy
  • Please submit your final oral presentation here
Poster Presentation
  • All posters should be printed to fit the dimensions of 48″ x 36“. Feel free to print the poster onto a paper or cloth base – whatever you prefer.
  • Posters must be submitted as a PDF to the Eventify app by midnight on September 30th

Getting to UIC from O’Hare International Airport

Driving: If you’re renting a car or driving, the drive from O’Hare to the UIC area of Chicago typically takes about 25–40 minutes depending on traffic, following I-90 East toward downtown before connecting to I-290 West.

 

Train:  You can take the CTA Blue Line from O’Hare directly to the UIC-Halsted station, a ride that typically takes about 45–50 minutes.

Getting to UIC from Midway International Airport

Driving: If you’re renting a car or driving, the drive from Midway to UIC area of Chicago takes about 25-35 minutes depending on traffic, following I-55 toward downtown or Cicero Ave.

 

Train:  You can take the CTA Orange Line from Midway to Downtown, then transfer to the Blue Line to the UIC-Halsted Station, which can typically take 40-60 minutes.

The conference will take place on the second floor of the building. Enter through the doors off of Wolcott Ave after you pass the Starbucks. Take the stairs on either side of the entrance. Elevators are also available.

The poster sessions will take place on the third floor of the building. Please enter from the north side of the building (facing SCW) and take the elevators to the third floor event space. 

Special Remarks on Documentation and IRB
Documentation Request: Those who have abstracts accepted to the conference are welcome to submit a form to request official documentation of acceptance for their institution. If this request must be completed as soon as possible, please indicate so on the form. We will email you with the documentation as soon as we can.
IRB Guidelines: Those with questions about IRB requirements, we are requesting that you seek IRB approval for all research projects, most quality improvement or clinic set up projects will not require an IRB. If you are waiting on approval and have a proposal that has a detailed timeline with results that can be re-submitted in September, you can still submit your preliminary abstract.We understand that projects within the student run free clinics take time to conduct and we want to give everyone a chance! Awards

Every abstract is eligible for an award. All authors of abstracts selected for an award will receive an award certificate. By submitting your abstract and if you win an award, you consent to your project being posted on our website after the conference. Awards will be selected in the following categories:

  1. “Outstanding” Awards – Abstract, Oral Presentation, and Poster Presentation
  2. Innovation Award
  3. Specialty Care Achievement Award
  4. Clinic Design Excellence Award
  5. Student Impact Award

Conference FAQ

I am presenting a poster and/or oral presentation. Do I need to register for the conference?

Yes, all conference attendees, including presenters must register for the conference.

What is the cost of conference registration?

Registration costs apply to all conference attendees, including presenters:

July 15th – August 15th:

There will be NO refunds within 2 weeks of the conference.

Is there a virtual option for attending conference this year?
Unfortunately, no, there is not an option for virtual attendance or presentation at the SSRFC Annual Conference
I can no longer attend the conference. What is the process for requesting reimbursement?

If you are no longer able to attend the conference, email conference@studentrunfreeclinics.org so that we can update the schedule. We are able to reimburse registration costs, minus the processing fees, if requested by 9/20/2025.

Is the conference schedule available yet?

The precise conference schedule will be available on the Eventify App once closer to the conference! We will be posting a link to the final schedule once we have final counts on student presentors!

The 2025 SSRFC Annual Conference programming will run from Saturday, October 4th to Sunday, October 5th. The SSRFC Operating Committee Elections will take place on Saturday, October 4th later in the day. Poster sessions and oral presentations will be held on both Saturday and Sunday.

Can I request that I present my poster on Saturday or during an early session on Sunday?

Unfortunately, we are unable to honor such requests at this time.

When will presentation times be released?

Presentation times have already been released via diret emails from our Research and Publications Co-Chairs Kim and Will. Presentation times will also listed on the Eventify app once you register for the conference.

When does conference registration close?

Conference registration closes on October 3, 2025 at 11:59 PM CST. At-the door tickets will be available for purchase at $400.

Hotel room block reservations are limited so purchase ASAP.

When are elections? How do I run for a position on the SSRFC Operating Committee?

Elections will take place on Saturday, October 4, 2025 at 5:00 PM CST.

 

Visit here for more information on the positions available and for access to the nomination form. Self-nominations are encouraged, but each individual may only run for one position.

 

The nomination form will close at 4:00 pm CST on October 4, 2025 just prior to the Election Meeting. Each candidate will be provided a short time (~1-2 minutes) to speak about their background and their vision for the position at this meeting.

What information do I need to submit a nomination form for the SSRFC Operating Committee Election?

In order to submit a nomination for a position, please complete the Nomination Form. The answers that are submitted to this form will be posted on our website for voting members to read through to get a better idea of who you are!

What size should my poster be for the conference?

The 2024 Annual Conference of the Society of Student Run Free Clinics was held on October 18-21, 2024  in Philadelphia, Pennsylvania. It brought together over 500 healthcare professional students, advisors, and professors from over 80 different schools to network, collaborate, and learn about the latest research and developments in individual free clinics.
